A Guide to Our International Shipping Process

This export guide will provide a step-by-step look at our international shipping operations, from the moment an order is confirmed to the moment it is ready for final delivery.

Phase 1: Order Confirmation and Production Planning

The journey begins with your order. Once you have worked with our international sales team to confirm the details of your order—the specific products, quantities, and pricing—the process is set in motion.

Proforma Invoice: We will issue a Proforma Invoice. This is a crucial preliminary document that outlines the entire order, including the description of goods, the price, and the agreed-upon Incoterms (International Commercial Terms), which define the responsibilities of the buyer and seller.
Production Scheduling: Your order is then entered into our production schedule. We allocate a specific production batch for your order to ensure that the products are fresh and that we can provide complete end-to-end traceability for your specific shipment.

Phase 2: Export-Grade Packaging

A product that is traveling halfway across the world requires a level of packaging that is far more robust than for a domestic shipment.

Inner Cartons: The rubber bands are first packed into our standard, high-quality inner boxes or bags.
Master Cartons: These inner packs are then placed into heavy-duty, multi-walled “master cartons.” These cartons are specifically designed to resist the crushing forces of being stacked inside a shipping container.
Moisture Protection: Depending on the destination and the time of year, we may also include desiccant packets inside the master cartons to absorb any moisture and protect the product during its long ocean voyage.
Palletization: For large orders, the master cartons are then neatly stacked onto sturdy, heat-treated (ISPM 15 compliant) wooden pallets. The cartons are carefully shrink-wrapped to the pallet, creating a single, stable, and easily movable unit.

Phase 3: Documentation and Customs Formalities

This is a critical and detail-oriented phase of the export guide. Perfect documentation is the key to a smooth customs process. Our dedicated export team prepares a comprehensive set of documents, which typically includes:

The Commercial Invoice: The final, official bill for the goods.
The Packing List: A detailed list showing the contents of each carton and each pallet.
The Shipping Bill: This is the primary document that is filed with the Indian customs authorities, declaring the details of the export.
Certificate of Origin: A document that is often required by the importing country to verify that the goods are “Made in India,” which can be important for tariff calculations.
Any other specific documents required by the importing country.

Phase 4: The Journey to the Port and Ocean Freight

This is where our partnership with our trusted freight forwarders comes into play. They are the expert orchestrators of the global logistics.

Container Booking: Our freight forwarder books space for our shipment on a container vessel that is sailing to the destination port.
Trucking to the Port: A sealed shipping container is brought to our factory. Our team carefully loads the palletized goods into the container, ensuring it is properly braced and secured for the journey. The container is then sealed and transported via truck to the port of departure.
Indian Customs Clearance: At the port, the shipping bill and other documents are submitted to the customs authorities. Once they have verified the shipment, the container is cleared for export.
The Ocean Voyage: The container is then loaded onto the massive container ship. This is typically the longest part of the journey, which can take several weeks depending on the destination.

Phase 5: Arrival and Import Clearance

While our direct responsibility may end at the Indian port (for an FOB shipment), our commitment to a smooth process does not.

Document Transmittal: As soon as the ship sails, we transmit a full set of the shipping documents (including the crucial Bill of Lading) to you or your designated customs broker in your country.
Arrival at Destination Port: Once the ship arrives at the destination port, the container is offloaded.
Import Customs Clearance: You or your customs broker will then use the documents we provided to file the necessary import declaration with your country’s customs authority, pay any applicable duties and taxes, and get the shipment cleared for release.

Phase 6: Final Delivery

Once your shipment has cleared customs, it is ready for the final leg of its journey. A local trucking company will pick up the container from the port and deliver it directly to your warehouse or facility. Upon arrival, you can break the seal and unload your high-quality RuBands products, ready to be sold to your customers.
